Your estate, in one calm place.
Official notices, maintenance requests, a neighbours' marketplace and messaging for the people who live on your estate. A console for the people who run it. No group-chat noise. No ads. Residents never pay.
Sound familiar?
Most estates run on a residents' WhatsApp group, a notice in the lobby and an inbox at the managing agent. Everyone is busy, and nobody can find anything.
“Has anyone else got water coming through the ceiling?”
Forty replies, three photos, no one from management in the group, and the leak still isn't logged anywhere.
“There's a notice in the lift about the water going off.”
Half the building never saw it. The other half saw it after the water went off.
“Who do I even email about the service charge?”
Leaseholders, tenants and landlords all need different things from the estate, and all of them end up in the same chat.
Everything an estate needs, nothing it doesn't.
Estate Hub is a resident-owned portal: a well-run notice board rather than another social network. Each part is a module your estate can switch on or off.
Official announcements that actually reach people
Planned works, outages, meetings and reminders go out with the badge of the company that issued them, to the whole estate, one block, or leaseholders only.
- Pinned, scheduled and expiring notices, with attachments
- An “Acknowledge” button, so admins can see who has read what
- Push notifications with quiet hours, plus an inbox that keeps every notice
Report a problem in a minute, then watch it get fixed
A leak, a broken lift, a light out in the car park. Residents pick a category, say where it is and add a photo. Management picks it up with a response-time clock already running.
- Private issues for your own flat; shared ones for common areas, where neighbours tap “me too” instead of reporting again
- A clear path: new, acknowledged, in progress, awaiting a contractor, resolved
- Separate, private inquiries for service charges, consents and documents, so they never share a queue with a dripping tap
A community feed with manners
Recommendations, lost and found, questions, social plans and pets, each in its own lane. Threaded comments, reactions, a quick poll on your own post, and a moderation queue behind it all.
- Posts to the whole estate or just your block
- Saved posts, a quiet “noticeboard” view, and rate limits that keep it calm
- Report anything; moderators can hide, remove and mute
A marketplace and parking, neighbours only
Sell, give away, lend or ask for things from people who live a lift ride away. Rent out your parking bay by the month or the day. Everything is scoped to your estate and expires on its own.
- Photos, price, condition and pickup notes; “Reserved” and “Gone” in one tap
- Buyers message the seller in the app, so nobody has to hand out a phone number
- Optional alerts when a neighbour lists something you are after
Messages, without the group chat
One-to-one chats start from a listing, a parking space or an issue, so a conversation always has a reason. There is no estate-wide open chat by design: that is what the feed is for.
- Chat with the contractor fixing your flat, inside the issue
- Block or report anyone; mute any thread
- Choose who can message you: everyone, people you've messaged, or nobody
A console for the people who run the estate.
Everything management needs lives in the browser, on the same data residents see. Phones work too, for the director who gets the call at 9pm.
Triage and track
An issue queue with filters, bulk actions, assignment to staff or contractors, internal notes and response-time targets per category. Export to CSV when the board asks.
Know who lives where
Blocks, cores, flats and parking bays, loaded from a spreadsheet. Invite codes per flat carry the right role: leaseholder, tenant, landlord or household member.
Moderate calmly
Reports land in one queue. Hide, remove or mute with a reason. Every admin action is in an audit log, so a board can always see what happened and who did it.
Switch modules on and off
Start with announcements and issues; add the marketplace, parking, polls and events when the estate is ready. Approve new members first, if your board wants that.
Live within a week.
No app-store faff for your residents and no IT project for your board.
We set up your estate
Blocks, cores, flats, car-park bays and the companies involved, from the data you already hold. Your estate gets its own space; other estates never see it.
Every flat gets an invite code
A printed sheet with a QR code goes through the door, or by email. The code knows which flat it belongs to and whether it is for the leaseholder, the tenant or a landlord.
Residents join in a minute
Download the free app or open it in a browser, redeem the code, pick a name. They are in, with exactly the access their role should have. No one has to be vetted by hand.
The estate pays. Residents never do.
Estate Hub is a service your management company subscribes to, like the lift contract, so the app is free for every resident on every store. There are no adverts, no premium tiers for residents, and your data is never sold or shared.
Every module is included, whatever the size of the estate, and you can try it with your residents for 90 days before deciding.
What you get
- All modules, all roles, unlimited residents
- iPhone and Android apps plus the web app for the console
- Set-up from your existing records, with printed invite sheets
- Your data is yours: full export at any time, and if you ever leave
- Support from the people who built it
Built for a block of flats, not an ad network.
Residential data is sensitive: who lives where, which flat has the leak, who complained about whom. Estate Hub is designed so the fewest people possible can see any of it.
Access is enforced in the database
Every row carries its estate, block and flat, and the database itself decides who may read or write it. A tenant in block A cannot see a leaseholder-only document in block B, however the app is poked.
Private by default
Flat numbers and phone numbers are never shown in public content unless a resident chooses to. Issues in your own flat are seen only by you and management.
Hosted in London
Data stays in the UK and EU. Sign in with email, Apple or Google. No analytics trackers, no advertising identifiers, no data resale. Ever.
Your data, and your residents' rights
Residents can export their data and delete their account from inside the app. The estate can export everything it holds, at any time.
Clear GDPR roles
Your management company is the data controller for its residents; Estate Hub is the processor, under a written data-processing agreement with every estate.
Accessible to everyone in the building
Large text up to 200 %, screen readers, keyboard navigation on the web, colour never used on its own to mean something, and a dark mode that follows the phone.
Built with a riverside estate in Greenwich.
Estate Hub was designed with the directors and residents of a leasehold estate on the Thames in south-east London, as a replacement for a WhatsApp group with hundreds of members. Its first year is a pilot, and what the residents ask for shapes what gets built next.
“The point was never to build another app. It was to stop a 200-person group chat from being the only place anything got said.”Stefan Tulac, founder
Questions boards ask
Who is Estate Hub for?
Resident management companies, right-to-manage companies, residents' associations and the managing agents who work for them, on estates and blocks of flats of any size. One estate with one block works; so does an agent's portfolio of twenty.
Do residents have to pay or see adverts?
No, and they never will. The estate subscribes, the apps are free, and there are no adverts, no premium features for residents and no sale of data. That is a founding rule, not a current policy.
What about residents who don't want another app?
Everything works in a web browser too, on any device, at the same address. Push notifications are optional, and a resident can choose a once-a-day summary instead of instant alerts, set quiet hours, or turn a category off.
How do you stop people who don't live here from joining?
There is no open sign-up. Each flat receives its own invite code, generated by an admin, carrying a role and an expiry. Redeeming it binds the person to that flat. Estates can also require an admin to approve each new member before they can post.
Does it replace our managing agent's portal or the service-charge accounting?
No. Estate Hub is where the estate communicates and where problems get logged and tracked. Accounting, payments and formal Section 20 consultations stay with your agent; you can link to their portal from the Estate info page.
Can we start small?
Yes. Many estates start with announcements and issues only, then switch on the community feed, marketplace, parking, events, polls and documents when residents are comfortable. Each module is a setting, not a purchase.
What happens to our data if we stop?
It is your data. You can export everything at any time, and when an estate leaves it gets a full export and the records are deleted on request. No lock-in.
See it with your estate's own data.
A 30-minute demo, then a trial with your real blocks and flats. Tell us a little about the estate and we will get back within a working day.
